What is a dispatch clearance note?
A dispatch clearance note is the gate document of a factory. It says that no goods leave until Sales, Production and Quality have all signed that the lot is correct, packed, inspected and covered by the right papers. The security gate has one test: the note is marked cleared and carries three signatures.
Many owners have seen this. A truck is loaded in a hurry at the end of the day. Later the customer calls. The quantity was short, or the revision was old, or the lot was never inspected. Or an invoice was made for goods that never left.
The note stops this by asking every department to say a written yes before the vehicle moves.
Who signs, and for what
Each person signs for what only he or she can confirm.
| Signature | Confirms |
|---|---|
| Sales | Customer, order, correct documents |
| Production | Quantity made, packing done |
| Quality | Final inspection passed, certificates available |
The dispatch in-charge prepares the note when the lot is packed and the final inspection report is signed. He does not sign for the others.
What the note contains
- Dispatch details. Note number and date, work order, customer, order reference, transporter, destination, planned date.
- Items cleared. Ordered quantity, quantity in this dispatch, balance pending, number of packages, gross and net weight.
- Gate checks, yes or no. Quality cleared, packing done, test certificates attached, invoice ready, challan ready, e-way bill ready (where it applies), final inspection report number.
- Full or part dispatch, with the reason if it is a part dispatch.
- Three signatures.
The note turns green, "cleared", only when the key gate checks are all yes. Even a simple sheet can follow this idea: any "no" means no dispatch.
Part dispatches and the balance
Often a customer order is sent in several lots. Each lot gets its own note. For a part dispatch, the note asks for a reason, such as "as per customer schedule."
The balance quantity should go the same day to the pending orders report, so Sales and the owner always know what is still to go. This ties the note to the order quantity and the schedule, and the numbers stay correct.
The papers that travel with the goods
The note is the factory's gate paper. Other papers go with the goods.
- Tax invoice. Made by Accounts, for the quantity dispatched.
- Delivery challan. Lists what is on the vehicle, against which order, with vehicle details. If the customer signs a copy, it becomes proof of delivery.
- E-way bill. Needed for goods moving by road above the legal value limit. Accounts fills the goods part. Dispatch fills the vehicle part when the vehicle number is known.
- Test certificates where the customer needs them.
- Returnable gate pass for bins and containers that must come back. Keep the line open until the last one is returned.
Check current legal limits and formats with your accountant. The papers differ by product and by route.
A simple habit that helped
In one plant we work with, Quality would not issue the dispatch label until the Sales Order number existed. The label carried that number. At first, staff said it was an emergency. The answer was that the sales order is made first. After a few months, the people involved found that confusion and rejections had fallen.
A truck should leave the gate only when three departments have said yes on paper.
Common mistakes
- Signing the note before the goods are actually packed and inspected.
- One note for many dispatches.
- Loading before the note is signed, "to save time."
- Forgetting the balance, so the pending list is wrong.
- Signing for another department.
How to start in your plant
- Print a one-page note with the five parts above.
- Tell security: no cleared note with three signatures, no gate pass.
- Fix a time of day for the dispatch clearance, not the last hour, so the checks are not rushed.
- Ask Quality to clear lots a working day early where possible.
- Review the notes in the structured daily meeting: what is cleared, what is pending, and why.
- After a month, count how many dispatches had a "no" on any check. Fix the cause of each one.
Key points
- The dispatch clearance note is a gate document with three signatures: Sales, Production and Quality.
- It is prepared once the lot is packed and finally inspected.
- Every dispatch, including part dispatches, gets its own note.
- The balance goes to the pending orders report the same day.
- Security allows the vehicle out only against a cleared note.
